How to install Filerev, Login & Start Your Scan

Filerev Summary Page

Delete, Move and Bulk Delete Files

After viewing your file categories on the summary page, you may want to remove some or all of the files in one of the categories.

Filerev makes it easy to manually select files to move or delete

.

There are primarily 3 ways to remove your files using Filerev.

Manually select files to move or delete

Use the selection tool to select all files on the current page to move or delete

Use the Bulk Delete Tool to delete all files in a given category

.

The filter button/dialog is also a powerful tool to make it easier to select files for deletion and can be used with any of the deletion options listed above.

You can read more about using filters in Filerev.

Whenever you delete files with Filerev, the files will be moved to your Google Drive trash.

The files in your Google Drive trash are automatically removed after 30 days, but there are some ways to recover files if needed.

Also, files in your trash will still use your storage space, so if you want to gain storage space immediately, you will want to empty your Google Drive trash

.

caution Backup:

It is always a good idea to create a backup of your Google Drive files before deleting anything.

At a minimum, you can use Google Takeout to download a copy of your files from Google Drive

.

Also, if you delete files that are shared with you, they will remove your access to the file but will not remove the file from the file owner’s account.

These files will not appear in your trash as the original file was not deleted.

In this way, Filerev operates exactly the same way that Google Drive does

.

Manually Select to Move or Delete

It only takes two steps to move or delete files in Filerev manually.

First, select the file or files you want to delete and then click the delete button.

If you click the delete button, you will see a confirmation dialog asking you to confirm that you really want to delete the files.

Click continue, and your files will be moved to your Google Drive trash.

You will also see a small progress indicator at the bottom left of the screen.

This will continue to be displayed until all your selected files are deleted.

Similarly, if you click the move button, you can choose where you want to move the selected files.

This will move all of the files that you selected to the folder of your choosing

You will also see a progress bar on the bottom of the screen to let you know when all the files have finished moving

Use the Selection Tool & Delete

If you would like to select files more quickly, you can use the select button to select what is on the page.

For example, when viewing your duplicate files in Google Drive, you can click the select button, and it will show the option to select all, oldest files, or newest files.

You can also select none to unselect files that were previously selected.

After you have selected the files you would like to remove, you can click the delete or move button.

Then, you will see a dialog confirming that you really want to delete the files or be asked where you want to move the files.

Click continue, and you will see the progress indicator described in the previous section.

Use the Bulk Delete Tool

Manually selecting files can be a time-consuming process, and the bulk delete tool is designed to save a lot of time.

The main difference between the select button (described above) and the bulk delete tool is that the select button will only select files that you are viewing on the given page.

In contrast, the bulk delete tool will work across all files in the given category.

When using the bulk delete tool, you do not need to manually select any files, as it will do the selecting for you.

Just click the bulk delete tool button on the top right of the screen.

Then you will see a dialog like the following.

Note that the below dialog is for the duplicate files page, but a similar dialog will be shown for any other category.

Then select oldest or newest in the dialog and click continue.

Since this has the potential to delete a lot of files very quickly, you will see one more dialog asking you to confirm that you want to delete the files.

Once you click Yes, Bulk Delete, you will see the same progress indicator as described in the manual deletion section of this article

How to use Filters

Filters are a way to limit the files or folders that are displayed in any of the categories that are listed on the summary page.

This brings a lot of control and lets you drill down to the specific files you may no longer want in your Google account.

For example, the filter dialog can be used to only view files like the following scenarios:

Duplicate files that are owned by you

Duplicate files that are owned by everyone but yourself

Old files that are between a certain file size

Files owned by a given user and in a specific folder

Duplicate files in a given folder, owned by you, older than 1 year and larger than a given size.

There are countless combinations that give you control in viewing and cleaning up your files.

To use a filter you can click the filter button on the top left when viewing your files in a category.

Once you click the filter button you will see a dialog like the following:

You can select only one option in the dialog or multiple.

If you use multiple filters, they will be combined so that only files that match every criterion will be shown.

For example, if you select files greater than 1 Megabyte and an owner of yourself.

Then the files shown will match both of those items

caution Tip:

After selecting your desired filter, you can bookmark the page to easily return to the page with the filter applied

Below is a list of each option in the filter dialog and how they work.

Creation Date:

This is the file’s creation date in Google Drive.

Owner:

The owner of the file.

You can select multiple owners, and files owned by each owner will be displayed.

For example, you can select all owners but yourself to see every shared file

File Type:

This is the file extension;

multiple file extensions can be selected to show more than one file type.

There are also special file types like Google Docs and Google Sheets which technically do not have an extension.

Another special file type is the “No File Extension” to see files that either start with a period or have no extension

Storage Used:

This lets you see files greater than a given size, less than a given size or between a given size.

The size can be specified in gigabytes, megabytes, kilobytes or bytes

.

Select Folders:

When this button is clicked, it will show a new dialog that will let you select a folder in your Google Drive account.

After selecting a folder, Filerev will show all files that live in the selected folder and files that are nested below the selected folder (live in a child folder of the selected folder).

You can also select multiple folders to see files that live in any of the selected folders

The checkbox to “show files in nested folders” allows you to decide if you want to see only the files in the given folder (not including files in subfolders) or see all files/folders that are nested below the selected folders

if you would like to select a folder in the “Computers” section of your Google Drive (My Computer, My Laptop, My Mac, etc), you can use the search feature, as shown in the screenshot below

View and Delete Your Duplicate Files with Filerev

This guide helps Filerev users understand what the duplicate files page displays and the best strategies for deleting duplicates in Google Drive using Filerev.

If you’re unfamiliar with Filerev’s Duplicate File Finder, start with our main feature page to learn about its capabilities.

After logging in and scanning your Google Files, you will see the summary page showing how your storage is used in Google Drive.

As can be seen in the screenshot below, it will list the amount of storage space used by the duplicate files.

You can also visit the Files by Category page to see the total number of duplicate files in your account.

You can click on the duplicate files category on either of these pages to see all of your Duplicate files.

Each set of duplicate files displayed on this page will have the same background color,

and the background color alternates for each new set of duplicate files.

View your Google Drive duplicate files using the Filerev app.

The duplicates displayed on this page are 100% identical regarding the content in the files.

The only difference between the duplicate files is the file name, file location, owner and storage used.

Filerev displays every matching file in a set.

Most of the time, you will want to select for deletion all duplicates in a set except the one file that you want to keep.

If, however, you select and delete all of the matching duplicates in a set, then you will no longer have that file.

You can use the select tool or the bulk delete tool to make the selection process easier, which is explained in the next section

caution Note:

This page displays the storage used in Google Drive, which is not always the same as the file size.

The storage used can, at times, be different, but the content is still 100% identical.

One way the storage usage can be different for a duplicate file is if one was uploaded in a way where Google did not charge for the storage space.

This was the case for images and Google’s proprietary files (docs, sheets, etc.) up until recently.

Another way the storage usage can differ is if a file contains multiple versions.

Below is an example showing the storage used by Google Drive differing from the actual file size.

When Filerev detects this scenario it will show a blue icon next to the file size and clicking on it will provide more information.

Filerev is working on adding the feature to view duplicate proprietary Google files such as Google Docs and Google Sheets.

Deleting Duplicates in Google Drive

At this point, It is recommended to take a look at the guides for moving, deleting & bulk deleting and using filters as these apply to every category, not just the duplicate files page.

If you want to delete all your “newest” duplicate files, you can use the select button (top left) and select “newest”.

Then you would want to click the “delete” button (top left), to delete your selection.

Note that this only selects the files you are viewing on the current page.

Now, if you know you want to delete all of your newest duplicate files (not only what you are viewing on the page), then you can use the bulk delete tool (green button on the top right).

Just go to the duplicate file page and click the bulk delete tool button.

It will then show a pop-up like the below screenshot, and you can select what you want to delete.

Last, the filter button (top left) can be used with either of the deletion options explained above.

This will provide more control over what is deleted.

For example, you can filter the files to only ones in a specific folder and/or image files.

Then when you select and delete or use the bulk delete tool, it will only apply to the files not filtered out.

Duplicates in the Same Folder

Filerev provides a specialized view for finding duplicate files located in the exact same folder.

These duplicates represent the most straightforward cleanup opportunity since they are 100% identical files located in the exact same folder.

There’s typically no reason to keep multiple copies of identical files in the same location, making these duplicates clear candidates for removal.

This view functions identically to the main Duplicate Files page and offers the same powerful features, including robust filtering and bulk deletion.

You can access this specialized view from the main navigation menu to quickly and confidently reclaim your storage space.

Examples

Below are a few examples of how the duplicate files page has been used to clean up the clutter in users’ Google Drive accounts.

How to Bulk Delete All Duplicates

This is the quickest & easiest way to free up space in Google Drive.

Just visit the duplicate files page and click the Bulk Delete Tool.

This will pop up a dialog (shown below) asking what you want to delete.

You can select the oldest or newest and quickly remove all duplicate files across your entire Google Drive account.

This will delete your oldest or newest duplicates and will still leave one file in each set of duplicates.

For example, if you have 3 matching duplicate files and you choose to delete the newest ones, the 2 newest duplicates will be deleted and you will be left with 1 file

caution Note:

There is an option to delete “all files that match the selected filter,” which deletes all files.

Deleting Duplicate Photos in Bulk

If you are only interested in deleting or bulk deleting duplicate photos in Google Drive you can use a filter.

Just click the filter icon, shown below.

This will display the filter dialog, shown below.

Then select the File Type drop-down and select each type of image you would like to see.

For example, you can select jpg, gif, png and webp.

Which looks like the following.

Also, if the file type does not exist in your account it will not be listed as an option in the drop-down.

Filter by photo types

Next, click the blue Apply Filter button and the duplicate file page will display all of the duplicate images in your Google Drive account.

Then you have the option of deleting the images one by one, using the select icon (top left) to quickly select what is on the page or using the Bulk Delete Tool to delete all duplicate images on your entire Google Drive account.

Delete Duplicate Files in a Specific Folder

Sometimes duplicate files are created so that all of the duplicates are in two nearly identical folders.

In this case, you may want to delete the duplicates in one folder but not in the other.

For this scenario, you can use a filter to select the folder to delete files in.

For example, I have duplicate images in the I love Google ❤️ folder and in the 2022 folder (in the below screenshot).

In my case, I want to delete all of the duplicates in the I love Google ❤️ folder.

Start by clicking the filter icon and then clicking the Select Folders button.

Then a new dialog will show that lets you select one or more folders.

You can search for these folders or browse to them.

Also, notice at the top there are “My Drive”, “Shared With Me” and “Shared Drives” tabs that can be navigated to.

Click once on the folder that you want to select and click the blue select button.

You can also use ctrl+click or shift+click to select multiple folders.

Then click the blue Apply Filter button.

In my example, I chose the I love Google ❤️ which then displayed the duplicates in that folder.

Notice how now it is not showing any of the duplicates in the 2022 folder.

If I want to see the duplicates in the 2022 folder, I can click the blue Show Filtered Out Duplicates button.

Now I can delete these duplicates in the I love Google ❤️ folder by manually selecting them, using the select icon (top left) or using the Bulk Delete Tool and selecting all in the dialog that shows up.

caution Note:

The Bulk Delete Tool will honor the filters that you have selected on the page.

In this specific example, if I select oldest or newest in the bulk delete tool no files will be deleted.

This is because there is only one duplicate file to choose from (with the filter in use).

How to use Storage Analyzer for Google Drive

Filerev’s Storage Usage Analyzer will let you browse your files and folders in Google Drive to see what uses the most storage space.

The screenshots below give an idea of what this looks like in the Filerev app.

This is similar to many of the Disk Usage Analyzers designed for Desktop computers, except this software works directly with Google Drive without downloading all your files.

To get started, scan your Google Drive account.

Then, once the scan is finished, click the Storage Analyzer option in the menu.

This section will show your Google Drive account’s largest files and folders at the top.

You can then open any of the listed folders to see the files and folders using the most storage space in the selected folder.

When viewing your Storage Usage, the files and folders will be sorted by the largest first.

There is also a progress bar under each file or folder showing the percentage of storage space that the file or folder is consuming in the given folder.

The progress bar is not showing the percentage of total storage used but rather the percentage of storage used in the folder you are currently looking at.

The Storage Usage Analyzer shows the storage usage for files and folders in My Drive as well as Shared Drives, Shared With Me and Computers synced with Google Drive.

You can also have Filerev scan one or more specific folders to see the storage usage of only those folder(s)

View and Clean Up Hidden Files

Hidden files are files that are literally hidden in your Google Drive account.

Filerev’s Hidden File Finder for Google Drive allows you to easily view, unhide, or delete these files.

These hidden files do not live in a folder, so there is no way to browse to them.

The only way to find them in Google Drive is by knowing the exact name of the file and then searching for it.

Of course, searching by an exact name is really hard to do when you don’t know what file is hiding.

Finding these hidden files is also beneficial as they will still use your storage space even though you don’t see them in Google Drive

.

caution Note:

There are files that operating systems (Windows, Mac, Linux) consider hidden.

These files start with a period (or dot).

This is not what the hidden file shows in Filerev.

However, you can view these types of hidden files in your Google Drive account in the File Type category

.

When Filerev scans your account, it finds every file, including the hidden ones.

On the summary page, you will see a Hidden Files category that will show you how many hidden files you have and how much storage space they use (screenshot below).

You can click on the Hidden category, and it will show all of the files that are hidden in your account.

You can then move or delete the hidden files by selecting them and then clicking either the delete or move icon.

When selecting the files, you can select them one-by-one or you can use the select icon (top left) to quickly select everything on the current page.

If you have many pages of hidden files you can quickly delete them all by using the Bulk Delete Tool (top right).

At this point, It is recommended to take a look at the guides for moving, deleting & bulk deleting and using filters as these apply to every category, not just the hidden files page.

How are hidden files created, and can it still happen?

Hidden files can still be created in Google Drive.

The primary way that they are created is by putting files in a folder that someone else has shared with you.

Specifically, it takes the following steps where John, a fictitious person, shares a folder with you.

John shares a folder with you and is the owner of the folder.

You put files into the folder, and you are the owner of the file.

John removes your access to this folder.

At step 3, since you are still the owner of the file, it is still kept in your account, and your storage space is used.

However, you don’t have access to the folder it lives in, so the file becomes hidden.

Is it safe to delete hidden files?

It depends.

You will want to manually review these files and make that decision.

In many accounts, the files have been hidden for so long that they are no longer needed.

However, you might find files that are hidden that are important and should not have been hidden to begin with.

View and Clean up Empty Files & Empty Folders

You will see a category on the Files by Category page displaying the number of empty files in your Google Drive account.

These are files that have no content in them. These files only have a file name.

Your Google Drive account may have files that consume no storage in your account but still have content in the tile.

These files will not be displayed in the empty file category as they are technically not empty.

What are empty folders?

The summary page will have a category showing the number of empty folders in your account.

Empty folders are folders that contain no files but may contain empty folders.

Below is an example of the empty folder list.

In the above image, the empty folder name and location are displayed.

Then on the right, you will see an image of the owner and an info icon.

caution Note:

Empty folders can be created by deleting duplicate files.

Many times there are two folders that have identical files.

When the duplicate files are removed, one folder is left completely empty.

This empty folder view also makes it easy to clean up the empty folders.

At this point, It is recommended to take a look at the guides for moving, deleting & bulk deleting and using filters as these apply to every category, not just the empty files list.

Is it safe to delete empty files & empty folders?

In most cases, the answer is yes.

However, you should consider how your Google Drive account is being used.

For example, if you create empty files or empty folders where each file is a task to be completed, then removing these empty files could remove your tasks.

Most Google users do not operate this way, but it is worth mentioning in case you do.

View and Remove Old Files

You will see a category to view your old files on the Files by Category page.

This category shows the number of files that are older than 1 year and how much storage space is being used by those files.

If you want to see files older than 1 year, click the drop-down and select older files.

After selecting a year, you will be taken to the page showing the old files in your Google Drive account.

Below is an example of what this will look like.

This page will show the file name, creation date, folder that the file lives in, storage space being used and the file’s owner.

You can also use the filter button (top left) to select a specific date range or use other filters to further limit the files shown.

Last, if you want to remove your older files, you can select the files one by one, use the select button (top left), or the Bulk Delete Tool (top right) to remove the old files quickly.

If it is scary to remove your old files, you could also move the files to a folder (like Archive), then download or backup the files before deleting them.

At this point, It is recommended to look at the guides for moving, deleting & bulk deleting and using filters, as these apply to every category, not just the old files category.

Below are a couple of examples of how the old files category can be used to clean up the clutter in your Google Drive account.

Remove Old Tax Documents

In most cases in the United States, you do not need to keep tax documents longer than 3 years.

So, you can use the old file category to purge all your old tax documents quickly

caution Note:

Please speak to your CPA or at least verify that 3 years is the correct time limit before proceeding as tax laws often change.

On the summary page, you can select older than 3 years and then use a filter to select the specific folder or folders that contain your tax documents.

Last, click the Bulk Delete Tool and select and click continue in the dialog that pops up.

Remove Old Shared Files

Google Drive makes it easy to share files and folders and have many parties collaborating together.

This can also lead to a lot of clutter in an account with shared files you may no longer need.

Maybe a previous employer shared files, and you don’t want those files cluttering your account any longer.

Or maybe a co-worker has shared files that have become obsolete.

You can start by deciding how old of files you want to remove and then select that from the summary page.

Once you select the year, you will be taken to the page showing your old files.

Then you can use the filter icon (on the top left of the page) to select the specific person or persons that share files with you that you no longer want

View and Delete Files Not Owned By Me

On the Files by Category page, you will see a category to view files shared with your Google Drive account.

This category is titled “Not Owned By Me”.

caution Note:

The storage space in use may or may not be using storage space in your account.

If you have a business or Google One account and the users sharing files with you are in the same Google account, it may be using storage in the account.

However, if it is someone outside your organization, it will not use any of your storage space.

You can click on the “Not Owned By Me” category to see the files others own and share with your Google Drive account.

if you want to remove these shared files, you can select the files one by one, use the select button (top left), or the Bulk Delete Tool (top right) to remove the old files quickly.

Deleting shared files does not remove them from the original owners’ accounts.

Instead, it removes your access to the file, but the owner will still have it in their account.

At this point, It is recommended to look at the guides for moving, deleting & bulk deleting and using filters, as these apply to every category.

Also, if a file is shared with you, but you were only given “viewer” permission, you might not be able to remove the file.

This is a limitation of Google Drive.

View and Delete Temporary Files

Temporary files have a way of creeping into your Google Drive account.

These files typically take up extra storage space and serve no purpose.

When Filerev scans your account, it looks for these files and will show them on the Files by Category page if it finds any temporary files.

The category on the summary page will show the number of temporary files that Filerev finds and the amount of storage they use.

You can click on this category to see the specific files.

Filerev looks for specific file types that are commonly considered temporary.

If you want to see the file extensions that Filerev considered temporary for your account, click the filter icon (top left), and the extensions will be displayed.

caution Note:

The extensions displayed for your account are the temporary files found and not an exhaustive list of every type of temporary file that Filerev searches for.

After reviewing your temporary files, you may choose to delete them by selecting the files one by one, using the select button (top left), or the Bulk Delete Tool (top right) to remove the temporary files.

At this point, It is recommended to look at the guides for moving, deleting & bulk deleting and using filters, as these apply to every category, not just the old files category.

Are temporary files safe to delete?

It will depend on your account, and reviewing the files before deletion is recommended.

The temporary files that Filerev searches for are commonly considered temporary in an Operating System (Windows, Mac, Linux, etc.) and can safely be removed for those operating systems.

Most temporary files show up in your Google Drive account when using a program (like Google Drive for Desktop) that will sync files from a desktop to Google Drive.

These programs often sync temporary files that are no longer needed and can be safely removed.

However, if you are manually creating temporary files (ex. MyFirstDraft.tmp) then you may not want to delete every temporary file that is found.

Instead, you may find it beneficial to use a filter to further reduce the types of temporary files that Filerev shows

You can view your Google Drive files by extension on the type category.

The type category will show a page containing a drop-down where you can select the file type or extension that you would like to view.

The dropdown will list every file extension in your account and will not display an extension if there are no files of that type.

Also, “Special File Types” are listed at the top for files that technically do not have an extension.

For example, Google’s proprietary files (Google Docs, Google Spreadsheets, etc.) will be listed.

Also, there is a “No File Extension” category for files that do not have an extension.

This includes file names that begin with a period, like “.hidden” files.

After selecting your desired file extension, you can then view the files of that type.

For example, you may want to view all of your .DS_Store files and remove them from your account.

Or maybe you would like to view all your .raw images as they take up a lot of space.

There are many examples of types of files that you may be interested in, and Filerev provides control over seeing only those specific files.

Also, if you are interested in multiple file extensions, you can use the filter icon (top left) to select more than one type.

You may also want to use more filters if you have specific requirements on the type of files you are after.

For example, you may want to see photos older than a specific date, between a given file size and owned by a certain user.

There are a lot of combinations that make sense for the filters, and you have control.

Once you drill down to the specific types of files you are after, you can review the files and optionally delete what you no longer need or move the files.

Custom View for Files & Folders

The Folders by Category and Files by Category pages will display a custom view option.

The custom view option provides an easy way to use a filter to drill down to very specific types of files or folders.

When you click on the Custom View under the Files by Category section you will see the filters that can be used, shown below.

These filters let you choose the specific files you want to see.

You can use one filter or combine multiple to further drill down.

After you click Apply Filter you will see the files that match the given filter.

You may also bookmark the page to come back to a specific filter in the future.

The custom view for folders is very similar to the custom view for files but the filters are not identical.

View Your Folders by Size

With the Storage Analyzer for Google Drive, you can view your folders taking up the most space in your Google Drive account.

After scanning your account, you will be taken to the summary page, where you can see how your storage is used across your entire Google Drive account.

Then you can view your largest folders and files using the Storage Usage Analzyer for Google Drive (shown below).

You can click on any folder to see how much storage space each item inside the folder uses.

The largest files or folders will always be displayed at the top.

There is also a progress bar under each file and folder showing the percentage of storage used by each item in the selected folder.

This makes it easy to quickly drill into the folders and ultimately files that are using the most space in your Google Drive account.

When viewing your largest folders, you will see the file or folder name on the left and at the top of the page, it will show the location of the file or folder.

On the right, you will see the storage used and the file or folder owner.

You can also click the three-dot (aka meatball) menu for more options to work with the file.

The storage used by the file or folder is the amount of storage quota that Google Drive is counting against your storage limit.

Occasionally, the storage usage of a folder and the actual size (if the files/folders are downloaded) are different.

In this case, Filerev will show an information icon.

If you hover over the icon it will pop-up a message showing the actual size of the item as well as the amount of storage quota being used.

If you want to delete or move specific folders, you can manually select them or use the select icon on the top left of the page and then click the delete or move button.

Browse Files by Type

After you finish scanning your Google Drive account with Filerev, you can then browse your files by file type.

This will show your files in different groupings of: Documents, Photos & Images, Audio, Video, Archive and Other. Below is an example.

In the above image, it shows each category name, the number of files in the category and the amount of storage space used in your Google Drive account for the given category.

You can click on any one of these categories, and it will show another grouping of each file type.

For example, clicking on the Document category will show something like the following.

However, this page may look different for your account as it is grouping them by the types of files in your account.

When you are browsing your files this way, it shows you the files in mime-type groups.

This is not the same as viewing your files by extension, which you can do in Filerev.

The main difference is when you are viewing files by mime type it doesn’t matter what file extension the file has.

If the file’s content matches a given mime type, it will be displayed in the corresponding category.

For example, you may have a zip file that is named “awesome.archive”. Filerev detects that this is a zip file based on the file’s content, even though the file extension is not “.zip”.

In this case, the “awesome.archive” will still show in the zip category.

This is unlike viewing files by extension, which will only show files that end in .zip.

When browsing by the file groups, you can click on any category, and you will be taken to a page where you can view the specific files that match that category.

For example, in the above image, I clicked “Microsoft Word” and was taken to the following page.

How much storage space is used by my Google Drive trash?

It is common to delete files in Google Drive to free up space and then wonder why your storage usage remains the same.

This is primarily because Google Drive continues to count the storage space used in your trash.

However, you may wonder how much space your trash is using.

Filerev will answer this when you view the trash category on the Files by Category page.

Then if you would like to free up the space used by the trash, you can click the empty trash button at the top of the page.
